Alchemy Document Management Software
Overview
For basic in-house document imaging and electronic retrieval requirements, SoftFile recommends OpenText's Alchemy Document Management Server.
Alchemy Introduction
Designed by records management professionals, OpenText's Alchemy Document Management Server (herein Alchemy) offers an integrated, tamper-proof, Enterprise Content Management (ECM) software suite of applications that can manage all of the documents and data that your organization must retain.
Alchemy acts as an electronic file cabinet for your organization, where you can securely file and find every document, no matter its original source, such as:
- Electronically scanned documents
- Microsoft Word, PDF, images, and more
- Inbound Fax transmissions
- More...
Alchemy will manage from 1 to 1 billion+ electronic documents. Every document is indexed for lightning-fast retrieval; including the full-text inside documents.
You can store the electronic document repository on a single CD-ROM, a collection of discs, on a network server or shared drive. There is no other document management software that can start so small and grow so big.
Alchemy's search engine is legendary for resolving index field and full-text queries within seconds, regardless of the repository's size.
Alchemy is a scalable, multi-user, Windows solution. It is perfect for both the small business and large business enterprise. As your organization grows, you can easily add client licenses and modules in order to meet increased data volume.
Alchemy Scan Module
How will you get your paper and index data (e.g. Vendor Name and Invoice Number) into Alchemy?
When connected to your document scanner, Alchemy Scan is an add on module that allows for the seamless conversion of paper documents directly into Alchemy
The Alchemy Scan module is completely integrated within the larger Alchemy product suite. It captures paper documents using a wide selection of popular scanners (including multifunction photocopiers) and can utilize optical character recognition (OCR) to create searchable text.
Alchemy Scan can also read barcodes sheets and store that information in standard and customized profile fields (metadata) within the repository.
You can index scanned images using one of six methods:
- Manual Data Entry
- Batch Profiling
- Zonal OCR
- Full-page OCR
- OCR drag-and-drop (using your mouse)
- use of Barcode technology
In addition, Alchemy Scan's handy drag and drop OCR feature can populate the profile field with words from the image. Scan can also translate data from barcodes into profile fields.
Alchemy Search Client
The Alchemy Search Client is the read-only viewer license for both the local area network and Web extension (if purchased).
A benefit in favor of selecting Alchemy as your Enterprise Content Management System (ECMS) is that each Search license uses the 'concurrent' license methodology as opposed to the traditional 'per seat' method.
This means that when you purchase a Search license, you can install Alchemy Search on an unlimited amount of Window's operating systems (all of the computers in your office). However, only that one user will be able to access the Alchemy repository. If two Search licenses are purchased, two user will be able to access the repository at the exact same time (concurrently).
SoftFile finds that most organizations will only require the purchase of up to three concurrent Search licenses. However, after your Alchemy system has been installed, if you wish you had purchased an additional Search license, it is easy to purchase and insert an additional license (serial code) into Alchemy's license manager.
Alchemy Web
Alchemy Web provides Internet publishing and access for your Alchemy document repositories.
Alchemy Web is an extension for the Alchemy Document Management Server, providing instant and secure access from anywhere in the world to the documents that are safely stored in your Alchemy repositories.
Via the Internet, you authorized users can securely search for, view, retrieve and even add content as quickly and easily as if they were in the home office.
Alchemy Web is available as an out-of-box solution.
Alchemy Web requires the Microsoft's IIS web service platform.

The typical Alchemy Document Management Server configuration includes:
